About Kaseya

Kaseya is the leading provider of AI-powered IT management and cybersecurity software, serving Managed Service Providers (MSPs) and internal IT organizations worldwide. Our comprehensive platform helps organizations efficiently manage, secure, and automate their IT environments, driving operational efficiency and long-term business success.

Backed by Insight Partners, a leading global software investor, Kaseya has experienced sustained double-digit growth and continues to expand its global footprint. Today, Kaseya supports customers in more than 20 countries and manages over 15 million endpoints worldwide.

Founded in 2000, Kaseya was built by builders - and we're still building. We look for people who create rather than wait, who see a hard problem and lean in, and who treat challenges as raw material. At Kaseya, everyone plays a role in shaping the future of IT: whether you're in engineering, product, sales, marketing, customer support, or operations, your work helps protect, defend, and optimize IT environments across the globe.

We're building teams that grow, perform, and make an impact. If you're driven by the itch to make things better - a product, a process, a career - you'll fit right in.

At Kaseya, we don't just raise the bar. We build it.

Position Summary

Kaseya is seeking a proactive, highly organized, and business-minded Executive Assistant to support a senior executive. This individual will operate with a high degree of discretion, professionalism, and judgment, helping the executive maximize their time, focus, and impact across a fast-paced, high-growth organization.

The ideal candidate is more than an administrative support professional. They are proactive, anticipate needs, understand business priorities, effectively manage competing demands, and ensure the executive is prepared for critical meetings, decisions, and commitments. They are comfortable operating independently, adapting to changing priorities, and building strong relationships with internal and external stakeholders.

The successful candidate will leverage modern productivity tools, including artificial intelligence (AI), to enhance executive effectiveness, streamline administrative processes, improve information management, and increase efficiency. They should be comfortable incorporating AI into daily workflows to reduce manual effort, improve the quality of deliverables, and support effective decision-making.

The Executive Assistant will work closely with senior leadership and key stakeholders and may support interactions with Kaseya's leadership team, Board members, investors, and other high-profile individuals. Experience supporting senior executives in a private equity-backed or high-growth technology organization is highly valued.

Key Responsibilities

  • Provide proactive administrative and operational support to a senior executive, managing priorities, time, information, and relationships.
  • Manage a complex and dynamic executive calendar, ensuring time is aligned with business priorities and high-value activities.
  • Anticipate scheduling conflicts, preparation requirements, information gaps, and follow-up needs before they become issues.
  • Serve as a professional liaison between the executive and internal and external stakeholders, exercising sound judgment regarding priorities, access, and communication.
  • Coordinate meeting logistics, agendas, pre-reads, presentations, briefing materials, and other preparation requirements.
  • Organize executive leadership meetings, Board meetings, investor engagements, and other high-priority business activities, as applicable.
  • Track key decisions, action items, and commitments, proactively following up with stakeholders to ensure accountability and completion.
  • Coordinate domestic and international travel, including detailed itineraries, logistics, and last-minute changes.
  • Draft, edit, and coordinate executive communications, presentations, and other business materials with professionalism and attention to detail.
  • Leverage AI-powered tools to assist with meeting preparation, summarizing information, drafting communications, organizing notes, tracking action items, and streamlining administrative tasks.
  • Identify opportunities to use AI and automation to reduce repetitive work, improve workflows, and increase productivity.
  • Stay informed about emerging AI capabilities and productivity tools relevant to executive support.
  • Use AI tools responsibly, maintaining confidentiality and following company policies regarding data security and approved technology.
  • Handle confidential, sensitive, and business-critical information with exceptional discretion and judgment.
  • Build strong working relationships across the organization and effectively coordinate with stakeholders at all levels.
  • Support special projects and business initiatives by coordinating stakeholders, managing timelines, organizing information, and tracking deliverables.
  • Identify opportunities to improve executive effectiveness, team communication, and administrative processes.
  • Represent the executive with professionalism, responsiveness, and sound judgment in all interactions.

Required Qualifications

  • 5–8 years of experience as an Executive Assistant or in a similar administrative support role, preferably supporting senior leaders.
  • Demonstrated experience supporting VP-level, C-suite, or other senior executives in a fast-paced organization.
  • Proven ability to anticipate executive needs, manage competing priorities, and proactively drive follow-through.
  • Strong organizational and time-management skills, with the ability to manage complex calendars, multiple stakeholders, and changing priorities.
  • Experience using AI-powered tools or modern productivity technology to improve efficiency, streamline workflows, or enhance the quality of work.
  • Familiarity with generative AI tools for meeting summaries, research, content creation, communication drafting, or administrative support.
  • Ability to evaluate AI-generated content for accuracy and use AI tools responsibly while protecting confidential information.
  • Excellent written and verbal communication skills, with the ability to interact professionally with executives, employees, and external stakeholders.
  • Strong attention to detail, sound judgment, and the ability to handle sensitive information with discretion.
  • Ability to work independently, take ownership of responsibilities, and make decisions without constant direction.
  • Strong problem-solving skills and the ability to remain composed and effective in a fast-paced environment.
  • Proficiency with Microsoft Office, Zoom, and other executive productivity and collaboration tools.

Preferred Qualifications

  • Experience supporting a C-suite executive or senior leader in a global organization.
  • Experience in a private equity-backed organization or high-growth technology or SaaS company.
  • Experience coordinating Board meetings, Board materials, investor meetings, or other executive-level engagements.
