Indra is seeking a Service Coordinator to support the day-to-day operation of the Repair Centre, managing and administering Original Equipment Manufacturer (OEM) and third-party repair processes for equipment that cannot be repaired in-house.

The role involves liaising directly with OEMs and third-party repair providers to ensure repairs are completed efficiently, cost-effectively and to the required quality standards, without adversely impacting customer service operations.

Alongside repair coordination, the role will support equipment disposal, spare parts tracking, performance reporting and general administrative activities. This is a varied position combining administration with hands-on responsibilities, including the manual handling of packages, boxes and equipment.

The successful candidate will maintain accurate records across Microsoft Excel, internal databases and manual systems, working closely with Repair Centre technicians, management, purchasing, accounts, stores and external service providers.

Key Responsibilities

  • Administer and manage the day-to-day OEM and third-party repair processes.
  • Liaise with internal departments, OEMs and third-party repairers to ensure repairs meet agreed turnaround times, cost expectations and quality standards.
  • Manage repair quotations, raise purchase requisitions and check invoices where required.
  • Proactively monitor and chase outstanding repairs, ensuring progress is tracked and delays are addressed.
  • Document changes to repair processes and maintain accurate computerised and manual records.
  • Analyse repair fault and resolution data, producing reports on OEM performance and costs.
  • Provide updates and feedback to customers where required.
  • Coordinate equipment disposals and maintain appropriate disposal records.
  • Administer the awaiting spare parts process and undertake other Repair Centre administrative duties.
  • Provide cover for the Repair Centre Administrator during periods of absence.
  • Advise the Repair Centre management team of any issues that may affect the efficient operation of the department.
  • Work collaboratively with technicians, supervisors, management, purchasing, accounts, stores, helpdesk teams and external repair providers.
  • Comply with Indra's Quality Management System, health and safety, environmental and security policies and procedures.
  • Undertake any other reasonable duties required by the management team.

Requirements

Knowledge Required

  • Understanding of technical repair processes and service coordination.
  • Good working knowledge of Microsoft Excel and computer-based record-keeping systems.
  • Awareness of purchasing processes, quotations, invoices and purchase requisitions.
  • Understanding of quality management processes and accurate documentation.
  • Knowledge of data analysis and performance reporting would be advantageous.

Skills and Experience

Essential:

  • Experience in a similar technical or administrative role.
  • Competent in Microsoft Excel, with demonstrable previous experience using spreadsheets.
  • Confident using computers, email, online portals and databases.
  • Strong attention to detail and a proven ability to maintain accurate records.
  • Good written and verbal communication skills.
  • Ability to organise workloads, meet deadlines and follow up on outstanding tasks.
  • Willingness and ability to manually handle packages, boxes and equipment.

Desirable:

  • ONC or equivalent qualification in a relevant technical or administrative discipline.
  • HNC or equivalent qualification in a relevant technical or administrative discipline.
  • Experience analysing data and producing reports.
  • Previous experience handling electronic or electromechanical equipment.
  • Experience processing quotations, invoices, purchase orders and courier arrangements.
  • Working knowledge of ISO 9001 quality standards and processes.
  • Full driving licence.

Person Specification

The successful candidate will be self-motivated, organised and detail-oriented, with the ability to work independently and as part of a wider team.

They will demonstrate:

  • Excellent attention to detail and accuracy.
  • Strong communication and interpersonal skills.
  • A proactive approach to monitoring and progressing outstanding repairs.
  • The ability to work with limited supervision and manage competing priorities.
  • A flexible approach to supporting the wider Repair Centre team.
  • A commitment to maintaining quality, safety, security and efficient working practices.

This role requires someone who is comfortable balancing administrative responsibilities with practical, hands-on tasks, while helping ensure the Repair Centre operates efficiently and delivers a reliable service.
